Constitution

Name: The Club shall be called The Yeovil & District Canine Society

Officers and Members: The club shall consist of President, Chairman, Vice-Chairman, Hon Secretary, Hon Treasurer and a committee of 12, each of whom shall serve for three years, and an unlimited number of members.

Committee: The management of the Club shall be in the hands of a Committee consisting of 12 members each of whom shall serve for three years, but shall be eligible for re-election after this period. The President, Hon Secretary and Hon Treasurer shall be ex officio members of the Committee. Meetings of the Committee shall be held as often as deemed necessary and five shall form a quorum for the transaction of business. No member may hold office of Secretary or Treasurer unless they have sat on the Committee for at least a year before being elected to one of these offices. Also Commmittee members missing three consecutive committee meetings without apologies shall be asked to resign from the Committee. The Committee shall have the power to co-opt members onto the Committee in the event of positions becoming vacant between General Meetings. Those co-opted shall only hold office until the next General Meeting of the Club at which an election of Officers and Committee takes place. The Committee may appoint sub-committees as are deemed necessary for any special purpose. The Officers shall be ex-officio members to all sub-committees. Members of sub-committees must be paid up members of the Club but need not be Committee members.

Election of Members: A candidate for membership shall be considered to be a member on payment of his/her membership fee, subject to the approval of the Committee. A candidate for membership under the age of 15 years will be considered as a Junior Member (without voting rights) . Subscriptions for Junior members will be as advertised.

Life Members: An individual may be nominated for Life Membership of the Club by any fully paid up member. To be considered for Life Membership the nominated individual must be been a member of the Club for a minimum of 5 years and have made an outstanding contribution towards the maintenance and interests of the Club. Any nomination for Life Membership shall be received by the Hon. Secretary 14 days prior to the Annual General Meeting for inclusion at that meeting and voted for by the members at same meeting.

Subscriptions: The Annual Subscription shall be advertised and no other payment shall entitle to membership, payable to the Hon Treasurer on the 1st January each year. No member whose subscription is unpaid shall be entitled to any of the privileges of membership, and if any member fails to pay the annual subscription by 31st March the Committee shall have the power to erase his/her name from the list of members, but if the Committee shall subsequently receive a satisfactory explanation the member may, at the discretion of the Committee, and on payment of arrears, be re-admitted to membership. New members joining after November 1st shall be carried through with their subscription till the end of the following year.

Voting Rights: Each member shall be entitled to one vote immediately upon acceptance of membership (Joint members one per member).

Club Property: The property of the Club shall be vested in the Committee. In the event of the Club ceasing to exist, a General Meeting shall be called to decide the disposal of the Club’s assets and the outcome of the meeting notified to the Kennel Club.

Explulsion of Members: Any member who shall be suspended by the Kennel Club shall ipso facto cease to be a member of the society, and if the conduct of any member shall, in the opinion of the Committee, be injurious or likely to be injurious to the character or interests of the Society, the Committee may, at a meeting, the notice convening which includes as an object the consideration of the conduct of the member, determine that a Special General Meeting of the Society shall be called for the purpose of passing a resolution to expel him. Notice of both meetings shall be sent to the accused member advising him of the place, date and time that he may attend and offer an explanation. If at the Special General Meeting a resolution to expel is passed by a two-thirds majority of the members present and voting, his name shall be forthwith erased from the list of members, and he shall thereupon cease for all purposes to be a member of the Society, except that he may, within two calender months, appeal to the Kennel Club upon and subject to such conditions as the Kennel Club may impose.

General Meeting: The Annual General Meeting shall be held at the end of February each year, not less than 14 days notice being given to members, for the following purpose: to receive the report of the Committee and Balance Sheet, to elect the Officers and to discuss any resolution duly placed on the Agenda of which prior notice has been given by the Honorary Secretary.
The Election of Officers and Committee at the Annual General Meeting shall be either by vote or ballot of those present at the meeting. A Special General Meeting shall be summoned by the Hon Secretary if 12 members send in a signed requisition stating the subject to be discussed, no business other than the matter on the Agenda can be discussed at a Special General Meeting.

Club Accounts: A Banking Account shall be opened in the name of the Club. All withdrawal cheques to be signed by 2 of the following: Chairman, Hon Secretary or Hon. Treasurer. The accounts shall be kept by the Treasurer, and an Auditor shall be appointed at each Annual General Meeting who shall audit the Club accounts for the ensuing year before the next AGM.

Rules: The rules of the Society may not be altered except at an Annual General Meeting or Special General Meeting and such alterations may not be brought into force until the Kennel Club has been advised and given its approval of the alterations.

List of Members: The Society will make a list of members and their addresses available for inspection if so requested by the Members of the Society or by the Kennel Club.

Annual Returns: The Officers acknowledge that during the month of January each year Maintenance of Title Fee will be forwarded to the Kennel Club by the Secretary for the continuance of registration, and that by 31st July each year other returns as stipulated in Kennel Club Regulations for the Registration and Maintenance of Title of Societies will be forwarded to the Kennel Club.
The Officers also acknowledge their duty to inform the Kennel Club of any change of Secretary of the Society which may occur during the course of the year.

Kennel Club Final Court of Appeal: The Kennel Club shall be the final Court of Appeal in all matters of dispute and shall be the final authority for interpreting the rules and regulations of the Society and in all cases relative to Canine or Club matters.

The Club shall not join an Federation of Societies or Clubs.
